At our police department, we were struggling to manage forms and every officer had a different version of the form that they had saved or printed somewhere and there was no consistency. We also were using a printed policy and procedure manual which was not updated very often. The updates were printed and handed to each employee and we trusted them to remove the outdated policy and replace it, however not sure that got done. Now with the PowerDMS Solution, all employees (sworn and non-sworn), can easily search for any form, policy, contract, agreement, etc. and have full confidence they have the current version for increased consistency. We also use PowerDMS to document every employees training throughout the year and also through their career. Beyond that, we use PowerDMS to create courses, and assign certificates complete with tests and surveys on a variety of topics. I would highly recommend this product and am so glad that we found this company when we did. The onboarding process was very smooth and they held our hands as we developed "our" system. If you are on the fence, give this a try - you'll be glad that you did.

This software is very well suited for law enforcement agencies of all sizes from 5 to 5000 officers. There is a mobile app that allows officers to quickly and easily search while out in the field or on a call. They can quickly review a policy, locate a form, pull up a map and much more using either the mobile app or the desktop application.

PowerDMS is a crucial aspect of CFAI accreditation management for our department. Policies, procedures, and accreditation documents themselves are easily managed. Review and revision of documents through workflows ensures compliance.

General Operating (GOG) management is efficient. Review reminders are available to be scheduled automatically. CFAI accreditation management is also efficient, allowing managers to track revisions, create workflows for updates, and even retrieve archived documents for reference.

My agency has never used PowerDMS tests or surveys; unsure of how well they work.

We use PowerDMS to manage our departmental forms and policies and other reference documents used by the agency. Our Accreditation Team also uses the software to manage all aspects of our accreditation program compliance. All employees use PowerDMS to automate training requests and many other intra-departmental communications via the PowerDMS approval workflow feature.

Getting 100% signature compliance on policy updates used to take months but since automating out policy management updates in PowerDMS, we can get 100% compliance in as little as 2 weeks. Internal requests for things such as training, purchases, etc used to be pushed up the chain of command via a paper copy and would often get misplaced or lost in a full mailbox. Using PowerDMS to automate those requests put the power back in the requester's hands and increased transparency and accountability across the organization.

PowerDMS is used by UCF Student Health Services as it is an accredited entity with AAAHC (PDMS supports). ALL SHS policies/procedures are managed in PDMS as well as the majority of employee training. SHS uses PDMS to manage the assessment for AAAHC's review. The last review was in October 2021.
  • Creating and managing department required training (HIPAA, OSHA, etc).

  • Provides easy access to all documents (including policies, reporting forms, training reports, etc).
  • When running a report for a course/test, there is not an option for selecting only those persons who have not started the course. It can filter for those who have completed (whether passed or failed) and those who are pending completion, but, I have not found a way to filter those who were assigned the course/test yet haven't even attempted to start, let alone open, the request.
I think it is most beneficial to companies who are at least 20 - 25 employees. Anything less than that it seems it would be a lot to pay to manage policy/training communication to such a small organization.

PowerDMS is being used as our primary document management system. Within PowerDMS we are housing all training documentation, orders, past shift schedules, and anything and everything to do with our department policies. PowerDMS has helped us to address major document management and retention issues within the department and it has helped our Training Unit become more effective in our daily work. We are now able to pull records within seconds instead of needing hours at a time to review paper files. It has helped us streamline the training process by allowing us to offer courses online that once had to be reviewed in a classroom setting. Instead of being out of compliance we are now fully in compliance and that in itself makes the product worth every penny. This has also helped us to address other document management needs within the department. All of our files are kept in one place and it's helped us keep things much more organized.
  • PowerDMS makes collaborative policy writing easy. It allows you to have multiple sign-off options which help to ensure that users agree before a policy is fully approved. The notes section allows for changes to be suggested without multiple people accessing the document at a given time.
  • Training and Documentation Storage is wonderful inside PowerDMS. The folders feature allows you to sort material and different types of documentation as if you had a copyright in front of you. The different file type uploading option for documents makes it so we can also store videos.
  • Accreditation assessments are a breeze with PowerDMS. I love all of the features of the assessment. I am able to schedule task reminders to pop up for standards that are coming due. You can choose a file that you've already uploaded on PowerDMS as a proof and this feature is also very nice.
  • PowerDMS does not allow you the ability to reassign a document or policy to an individual without republishing an already signed off document. This makes remedial training very hard and cumbersome because everytime one individual needs to review a policy we have to republish it for the entire department.
  • Users cannot receive individual notifications for documents or policies. This is a big issue when it comes to our Personnel Orders which are stored within PowerDMS because people only receive a group notification. If the developers would create this it would make the product much more user-friendly.
  • As of right now, PowerDMS is a very functional, but basic software. The lack of customization, outside of website photos and material, is very problematic for end users. If users had a place to store and manage their own records it would be very helpful. As of right now, our training team is storing them under each user's file tab, but the users themselves do not have access. When we are in a situation where we need a person's entire file it makes it difficult to have to go through and print every certificate individually.
PowerDMS is a very good document management system. It is well suited for a company or organization looking to store departmental material such as training records or personnel records. It is not suitable to be used as a training tool for FTO's. There is no ability to customize the website to include add-ons such as FTO Training Software, social media add-ons, etc. If it was possible to add other elements to our page it would make the product even better.

PowerDMS is used across the whole organization. PowerDMS has made such an impact with collecting, processing, storing, and disseminating information that it is hard to imagine how we functioned pre-PowerDMS. The platform, in my role as accreditation manager, has enabled me to accurately track and update thousands of documents with the push of a button. Whereas, in the past, those same tasks would take months, to locate, update, staff, and collect signatures if necessary.

We are using PowerDMS for everything we can. It will be our department's one-stop shop for awards, policies, documents, courses, training, etc.. I feel it is going to boost morale in my department because users are going to know their certificates/awards are visible to their Supervisor. The accreditation process is going to be smooth and also the re-accreditation will be much easier.

  • Accreditation and the files that need to be kept. The way proofs are kept with the policy.

A police department runs on communication, and inevitably, paperwork. Adrian Police Department is leveraging PowerDMS to improve internal communication and simply workflows, document distribution, training, public access to records, policy management, and accreditation assessment. Currently, we are the only Department in our City using PowerDMS. The other Departments within the City use another product, that lacked functionality for police use. All employees and police reserve officers have access to PowerDMS, via a web-based application and smartphone app. This gives 24/7, world-wide access to all forms, schedules, and training, requiring only a web-enable device. We are also able to complete our accreditation compliance assessment within the application, using proofs that are real documents, updated in real time. In short, all business functions of the police department rely on PowerDMS, while all law enforcement functions are air-locked in a separate records management system.
  • Policy management- [Users] sign for, and can take [tests] to prove understanding of policy right in the application. As [the] policy is updated, old versions are retained, so that we not only know what a policy contains, we can track changes and provide information on what a policy was at any given time in the past.
  • Training- Users receive notifications when training is due and are guided to complete the training. If the training requires recertification, PowerDMS can be configured to alert the user that re-training is needed, without a supervisor needing to keep track. All documents used in training, including presentations and videos, can be contained in the PowerDMS course, so we can prove not only that an employee was trained, but exactly what curriculum was use din any given training.
  • Accreditation Assessment- [Our] accreditation standards manual is uploaded directly into PowerDMS. Proofs are accomplished using the actual policy and procedure, as well as the documents created during the workday. There is absolutely no duplication of effort.
  • Communications accountability- Email [can] be read and forgotten. With PowerDMS, a document can be distributed for user signatures, insuring that the user took affirmative action to read and understand the document.
  • Due to the immense capability of this product, learning the product can be daunting.
  • As with any new system, learning the "language" of PowerDMS is essential. Sometimes they don't call things the same thing you do.
  • Good software services are never cheap, and neither is PowerDMS.
Excellent for government agencies. The accountability features are excellent, and reports can be run simply, making it easy to see who has signed a policy, or check on a workflow. The ability to share any documents with the public in real-time is also outstanding, [as] I am a life-long government employee, and cannot comment intelligently on other industries.

PowerDMS houses all of our policies, forms and training. Before PowerDMS we had policies on 3 different sites, now they are on one easy to search and use site. We would run into problems of policies not be updated in all spots, so now that they are in one location, updating is no longer messy and it removes room for error.

We implemented PowerDMS in 2015 to manage our policy and our CALEA Accreditation. The entire department uses PowerDMS for our agencies Policy and Forms Library, Internal Training Course, and Career Development. As the Accreditation Manager, I utilize the software to manage our policy development, distribution, and tracking and document management and facilitation of our accreditation assessment.

Our department uses both sides of PowerDMS (training and compliance). We use it for CALEA compliance and we also use it to send out all of our policy changes and updates. In addition, we use PowerDMS to distribute training to reduce the number of hours officers have to be off the street for training and we track training certificates from both internal and external training.
  • PowerDMS provides the user learning tools that make mastering the programs easier.
  • PowerDMS has amazing employees that no matter what problem you are having they help come up with solutions.
  • PowerDMS listens to their customers and their needs and is constantly making their product better and implementing many of the suggestions from their customers.
  • The use and implementation of advanced workflows is difficult to follow even after watching the videos or attending training.
PowerDMS is a great tool for sending out policy changes and updates. We are constantly changing policy and this program allows you to see the latest version of that policy, but you can also see and compare the version just prior to the one published if you want to make comparisons. In addition to seeing the latest version, it also archives all the prior versions so you can see the history of the document and also what would have been signed off at that time if needed.

We rely on Power DMS for many things. We store our policy files through DMS, giving employees an easy method to search and study policy. We also publish new policies and policy changes through the system. Power DMS allows them to sign off on new policies both on the website and mobile app versions. They can review policy changes side by side with older policies to see what has changed.

We utilize the program for CALEA accreditation purposes as well. We are able to store proofs as they relate to our standards. We can grant access to assessors so they can view our proofs remotely.

We also utilize Power DMS for training purposes. We store training records and certificates through the program. We can publish training courses and have employees sign up for courses through Power DMS. Employees can also submit training requests to their supervisors and up the chain of command. Through training requests, they are able to provide documentation on travel/training costs.

We are also looking at using Power DMS to track equipment and uniforms issued to our employees.

PowerDMS is used by the agency for both accreditation purposes, assessment management, and as a document resource center. All policies and procedures are created in PowerDMS which provides a real-time tracking of the approval related activities. Once the document is approved, we track user review and signature for the document. Additionally, we use PowerDMS to provide remote web-based training to staff by incorporating video, PowerPoint presentations, policies, and other documents. The Training module is used to track all training requests, courses, and certificates.
  • PowerDMS provides management with a real-time tracking of policy reviews, approvals, and signatures. This is a great benefit for risk management.
  • PowerDMS allows users to incorporate remote, web-based training in a variety of formats including, but not limited to, video, PowerPoint, miscellaneous documents, interactive activities, and tests.
  • PowerDMS provides a very robust search engine that is very user-friendly.
  • PowerDMS has a mobile application that is available, however, at this time functionality is limited. That being said, the developers are very active in communicating with their customers and are constantly looking to improve all of their services.
PowerDMS is an excellent tool to be used in a law enforcement setting. Being able to run reports on policies and procedures gives management the ability to verify that these documents have been reviewed, received and understood by staff. It also provides a central repository for all critical documents including policies, procedures, training courses and certificates, accreditation related materials, maps, and countless other activities.

We utilize PowerDMS for our accreditation, training, policy review, continuing education hours, tracking training attended, and certification tracking
  • customer service....they listen to their customers and dont just listen but they then act on what the customers say, if you need something there are many ways to reach out to them and all of them are very efficient with a turnaround time of about an hour
  • education.....they provide many opportunities to learn about what all of the features of PowerDMS and what they can do for you
  • they provide many different functions within their system so that it benefits many different departments within a business
  • I would like to be able to customize things a little bit more
It is very appropriate if your agency has many documents that you need all employees or specific group of employees to sign off on to then hold them liable for having read and understood the content of the documents. It is also great to keep track of training employees have or have not attended. Along those same lines is the capability to track certificates. Whether a certificate is mandated by law or your employer it reminds the employee to get it taken care of you then have easy access to where all of your employees stand as far having certain certificates.

We use the Accreditation program of PowerDMS, and the administration and supervisors are the only ones using it in our department. It has helped us organize our files and make them available online for inspection.
  • Their support staff is awesome.
  • Their product is easy to use.
  • The training on how to use their program is extremely helpful and I would recommend it to everyone who is a first time user.
  • The workflow process can be improved a bit but we do not use it very much for accreditation.
  • We also use Lexipol and with them merging it might make things easier for our policy and accreditation to work better together.
Having only used the Accreditation program I can not speak for the other programs, and I have yet to run into a problem. The Accreditation program has become very valuable during this time of COVID19 because we can set it up for assessors to review our files without them having to leave their offices and travel to our department. I have found nothing less appropriate in the use of the program we have.

I use PowerDMS to manage my accreditation assessment for state-level accreditation through the Illinois Law Enforcement Accreditation Program (ILEAP). I have done both methods of ILEAP accreditation - Paper and PowerDMS. Currently, PowerDMS is used only in the accreditation function, but we foresee training and policy being added later. PowerDMS streamlines the ILEAP process, saving not only trees and paper costs, but also time, energy, and the administrative footprint associated with managing police accreditation.
  • Avoids paper files and costs associated with printing, shipping, and storing files.
  • Quickly and efficiently organizes accreditation files.
  • Allows for remote file review by assessors.
  • Not a PowerDMS problem, but training officers to use new software is problematic when the agency can barely afford to keep up with training mandates.
  • PowerDMS does offer a robust help community to help solve this issue though.
Through ILEAP, I routinely recommend PowerDMS as the most efficient and easiest method to conduct an ILEAP accreditation assessment. I've personally urged 50+ departments to look into PowerDMS. Many have signed on and made their assessment easier.

Power DMS is currently being used by our police department and was recently picked up by our county to be used at other agencies within our county. At our police department, we use it not only to help us in our accreditation process but for a number of things such as training, creating and editing of general orders, SOP's, etc.
  • Storage and maintenance of documents. Being able to create an order that has an audit trail of when it was created, input in the creation of the document, and setting due dates and reminders.
  • Training needs/certificates for ongoing courses that need to be done annually or quarterly.
  • No cons so far!
Power DMS is a great tool for managing your accreditation needs. It is also a great tool for training. It helps to be able to do an online course in Power DMS and create a quiz for the course without having to take up time and money to hold a course in a designated place etc. People can do the course at any time from home or at work, plus you can run a report on all of this.

We use PowerDMS for our CALEA accreditation. Currently, the accreditation manager and the accreditation team within the Staff Services, Planning, and Communication Section are the main users for this system, even though we have licenses for 100 employees. The system allows the agency to document and highlight proofs of compliance to maintain its national accreditation.
  • PowerDMS has outstanding customer service. The success community, webinars, training information sheets, and customer service representatives are top of exceptional quality.
  • The system is fairly easy to navigate and intuitive. There are not a whole lot of complex codes to do what is needed.
  • The ability to update forms and documents while maintaining copies of what was changed is helpful when determining when and what changes have been made in regards to agency accreditation compliance.
  • One of the biggest issues associated with using PowerDMS is that its security allows for certain roles. However, it is sometimes confusing to determine which role you are viewing.
  • In setting up roles a person has to be set up using multiple roles and know how to navigate from one role to another to view documents and assign tasks.
  • The ability to highlight small sections in PDF'S would be nice. The system allows the highlights in HTML to be word by word but in PDF'S you sometimes have to highlight more than you want because of the way the system drags the highlights.
PowerDMS is great for accreditation and policy maintenance. Since we only use it for these solutions, I have no issues where I would state that it is not as well suited.

We are using PowerDMS for several purposes. First of all, to store, manage and edit our many policies and other various documents. This allows us to have them easily accessible to staff as well as to the public. We also use PowerDMS to assist our staff with training on our policies, and other critical aspects of their positions.
  • Storing large amounts of documents.
  • Tracking changes to documents and allowing you to compare various versions.
  • Not 508 compliant--this is a must!
It is well suited in a variety of environments, once again, anywhere that holds/stores large amounts of documents. I suppose not necessary if you aren't working with many documents but still would make things easier.

  • Is frequently updated with new features and bug fixes
  • Has an easy to use UI to navigate
  • Makes Document Management a breeze via search and upload
  • Had issues with support in the past but not recently
  • We can't migrate an in house program to PowerDMS yet but are confident that the requirements we need will be met in the future
PowerDMS has many great uses. One use we use frequently is the test taking feature. It's nice to use that to maintain training and accreditation. The ability to search documents, and in documents, if very powerful, and is often used when looking for specific SOPS and information. Signing documents with timestamps is great as well.

The Arizona Association of Chiefs of Police started their state accreditation program in July of 2018. One of my first challenges for a new state accreditation program was how to manage the program. Drawing from my prior experience with PowerDMS as an Accreditation Manager and Assessor for the National and State Accreditation programs in another state, I immediately saw the value that PowerDMS could bring to the process, not only for myself but for our member agencies. PowerDMS is being used by AACOP to manage all phases of the accreditation program, including hosting our standards manual, creating assessments, allowing assessors to audit files off-site and bring added value to Arizona Law Enforcement with the other modules (documents, courses, certificates, tests, etc.). This allows agencies to move away from a paper-driven record keeping system and is a one-stop storage solution for all document retention needs.
  • Document Storage: PowerDMS store all types of documents in any format and allows the administrator to keep track of who receives the documents.
  • Security: PowerDMS security features ensure that documents do not fall into the wrong hands, which is critical in a law enforcement environment.
  • Courses: PowerDMS allows training officers to create courses to push out to their agency, thus freeing up more time for practical "hands-on" training.
  • As a program manager, it would be nice to allow me to share more with my Accreditation Managers.
  • Would like an easier way to create courses and certificates.
  • Combine the course and certificate feature so that you do no t need to create a certificate for a PowerDMS course, only outside courses.
PowerDMS is well suited for any size agency to manage not only all of their policies but all written documentation as well.

PowerDMS houses all of our documents and procedures, as well as training courses and quizzes that help us comply with ISO 13485 standards. It solves our problem of document approvals, revision control, record retention and even verifying training effectiveness. Every employee in the building has a PowerDMS login for training purposes and some for document approval purposes. Before, we were keeping our records in filing cabinets and it would take forever to keep up with that system. Now we just type in what we need, or what team member we're searching for and it's all right there.
  • PowerDMS helps with record retention. I no longer need to worry about where copies of things are in order to be compliant with our policies, because I know everything is safe in PowerDMS.
  • PowerDMS is extremely helpful with training. I've created courses for employees to take, and it automatically scores them and rewards them their certificate with the expiration date, so I don't have to remember all of this myself anymore.
  • PowerDMS is also great for approval workflows. Before I would have to email or manually walk a document over to someone, and then call them to remind them all the time that I need it approved. Now, they get the notification in their email and can get it done ASAP.
  • Sometimes there are glitches. Sometimes I will create a user and then that user will not show up when I search for them.
  • Adding a user to a course seems time-consuming. I have to click more buttons to get to that point than I'd like. Then, I have to "activate" it for them in order for them to easily access their to-do list. It's a lot.
I think PowerDMS is great any time there are a lot of documents and procedures to be kept track of or if there are courses/trainings that need to be completed. You can alter pretty much anything to fit the PowerDMS structure, and it is very helpful. I'd say if there aren't a lot of documents or maybe it's a really small company, it wouldn't be as necessary.

PowerDMS is being used in multiple departments; we use it to track contracts expiration and renewal dates, share information between departments, and staff onboarding and continued training.
  • User friendly. Very easy to navigate, and because it already has so many users it is very easy to search and find the answer from another user on how to do certain functions.
  • Always improving. New updated features are always being added.
  • Useful in many aspects of work.
  • There should be more options on how to run reports. Maybe needs more specific search fields. You can run reports based off of keywords found in documents and such, but it would be nice to be able to run a quick report based off of the workflows started. Also, it would be helpful to run the report to see which workflows are active or non-active, and how much each work flow is used and how effective it is.
Not okay for storing PHI, as the company is not willing to sign a BAA which is necessary in case of a hack.
